Experience in project management and/or event logistics is welcome but not essential. This is fast-paced role suited for an individual who relishes multi-tasking across projects.

The Events Coordinator collaborates and communicates with a variety of stakeholders on a multitude of events to ensure all deliverables are accurate, on time and within the specified budget as planned.

In 2022, you will primarily focus on coordination of the deliverables for ESOMAR’s virtual events as well as supporting the Global Events & Content team on the planning and implementation of the 2022 ESOMAR Congress in Toronto.

As more in-person events are possible, your role may expand to include certain logistic services such as supplier sourcing, event schedule and floor plan design, project management on-site.  This is an exciting opportunity to apply your natural ability as a charismatic organiser and negotiator to a dynamic logistics role within a global organisation.

Your tasks will include:

  • Coordinating speakers and authors to ensure the timely deliverable of their papers and presentations.

  • Creating, collecting and collating review documents from committees and awards juries.

  • Publishing event and registration information online as well as responding to general event enquiries from members and delegates requesting more information or assistance.

  • Preparing project plans & event schedules as well as coordinating in-house teams requests for programme and/or meeting space.

  • Ensuring timely delivery of event items from internal and external suppliers – for example marketing collateral, video productions, collections of edited papers.

  • Supporting your colleagues with:

    • Event Logistics: working with all external and internal stakeholders to ensure the flawless delivery of their services.

    • Supplier Sourcing: Benchmarking quotes and negotiating to ensure maximum value and favourable terms

    • Event P&L Management: keeping the event budgets up to date with all costs to provide real-time visibility of event expenditure.

Do you meet the profile?

You'll be our ideal candidate if you meet the following requirements:

  • You enjoy all aspects of event planning and relish the opportunity to bring the global ESOMAR community together.

  • You are a clear and confident communicator with excellent written and verbal skills in English. Fluency in Spanish and one of either French or Mandarin would be a distinctive advantage.

  • You demonstrate great organising skils, with demonstrated prioritisation and project management skills

  • You are a charismatic negotiator who gets the best deal while maintaining positive business relationships
